Proactive Risk Assessment: Risk RFI Follow
Within Proactive Risk Assessment, the Risk RFI tab is used to send out a Request for Information (RFI) to a selected group of suppliers for a selected set of parts or part types. An RFI can be sent to existing suppliers for parts in your base portfolio, and/or to alternate/existing suppliers for alternate parts.
Risk RFI
For part/supplier combinations that are in your current portfolio, an RFI can be sent to the suppliers to confirm supply, cost, lead time, terms, site status (capacity), alternate parts, etc. using the "Risk RFI" template that is provided by default.
The Risk RFI landing page is designed to assist you in sending out a Request for Information (RFI) to a selected group of suppliers for a selected set of parts or part types.
You can (1) add filters to include or exclude certain parts, suppliers, or geographies, and those filters can be saved for quick re-use in the Filter bar. When you (2) select a row item, it will light up in blue, and then (3) the action buttons become available to manipulate that row, rows displayed in lavender are indications that an alternate part is available in our data.
By default, Proactive Risk Assessment is in commodity scope. The user can switch to Product Scope in the scope options at the top of the screen if your organization has both scopes in contract. Risk impacts can be viewed at the product/product-family level via the Risk Dashboards. You can also create, compare, and submit Requests for Information (RFIs) through the product lens, as well as the commodity lens.
Suppliers Table: Represents your "base scenario" and represents your current supply base for the selected filter scope - all parts and suppliers from whom you currently source that are in the scope defined by the Include/Exclude Filters defined for "Base". Parts with alternates are highlighted in lavender.
Add Filters
When Add Filter is selected, two adjacent panels will appear that allow you to select which data to include and exclude from the RFI analysis. You can select multiple filters of each type, in order to define the specific scope of focus:
Include
The "Include" filters are used to limit the data to a specific set of Contract Manufacturers / Original Design Manufacturers (CM/ODMs), suppliers, manufacturers, Manufacturer Part Numbers (MPNs), Customer Part Numbers (CPNs), Commodities/Sub Commodities, Country of Origin (COO), or even parts from only disrupted or non-disrupted manufacturing sites.
- These are the "Fields" in the panels above. For example, if you select a specific CM/ODM and then only suppliers, manufacturers and MPNs relevant to that CM/ODM will be included in the top panel. Click the "+" sign to add additional filters. Use the "Properties" section to specify the attributes of field to include (e.g., which manufacturer names or specific sub commodities).
- Additional rows of the include function incorporate "AND" functionality, so if any filter is selected for inclusion, all data with the property will be included.
- Filters can be deleted by clicking on "X" sign.
Exclude
The "Exclude" filters allow further refinement of the scope and are primarily used to identify parts / suppliers that you do not want to include in the Alternates list. For Example, one might be looking for alternate parts, but want to exclude those with COO = China (as shown above)
Create RFI
When the user invokes the Create RFI button they are sent to the Smart RFX module, where they can pick from available templates (e.g., Supplier Capacity, Part-Site Mapping) depending on the user/company configuration, in order to send RFIs to their vendors.
For more details on how to conduct an RFI cycle or create templates, please refer to the Smart RFX Training Materials or contact your Customer Success Manager. Additionally, more informal collaboration can be conducted via the monitored messaging features of Smart RFX.
Create Alternate Parts RFI
When the user selects Alternate Parts button, brings up a new screen where the user is presented with both the (1) selected "base parts" in the top panel and (2) available alternate parts and sites in the lower panel, which offers the same create filter, select filter, select parts, and create RFI functionality described above.
The Alternate Parts list defaults to only one Scenario (FFF Community), but the user has the option to select alternate scenarios. Additionally, the user can (3) toggle to either include alternate sites as individual records, or to just list the alternate part once (a single record), thus leaving the site selection to the supplier.
The Alternate Parts and Sites Table comes from your existing suppliers or the community. The table is derived from the records selected, and offers all alternates based on the filter criteria that you specified for "Alternate". Alternates are generated by "Out-of-the-Box" scenarios, and if you hover over them in the dropdown their conditions will appear for you to review (i.e Form, Fit, Function by Same Manufacturer, below):
Part-Site Mapping via RFI
Risk RFI can be used to collect Part-to-Site or Part-to-COO mappings directly from your suppliers.
Customer View of Part-to-Site Mappings
Users can digitally collect Part-to-Site and/or COO mappings directly from suppliers. If you would like to participate in a pilot effort to collect this information from a few of your strategic suppliers, please contact your Customer Success Representative.
Part-to-site RFI templates have been created to enable users to send an RFI to suppliers to request part-to-site and COO mappings. Part-to-site and COO templates are split so that users can create and send an RFI to collect COO only in the event that suppliers do not maintain their sites in the LevaData supplier portal.
Customer Creation of the Part-Site RFI
The user creates a digital request for the part-to-site maps through the Risk RFI (1), then either creating a new filter (2) or selecting an existing filter (3) to view the parts that they would like to review for part-to-site maps, then selecting those parts to send to the RFI (4). Finally, choosing the Create RFI (5) transfers the user into the Smart RFX with the parts preselected:
Once transferred into Smart RFX the user selects the Part-Site Mapping template as shown below and can further refine the part / supplier selection as per standard Smart RFX procedures. Upon submission of the RFI, Smart RFX distributes the RFI to the suppliers:
