How do I maintain supplier sites in the supplier portal? Follow
LevaData maintains a vendor/supplier site mapping database through which site types (manufacturing, distribution, etc.), locations, and contact information are managed and maintained both by you, the supplier, and your customer. The purpose of maintaining this data is to enable identification by your customers of sites that may be impacted by global or site disruption events. It also helps your customers by facilitating efficient mapping of their portfolio of parts to their upstream supply chain locations to help them assess how events impact their portfolio.
The Supplier Portal Supplier Site Management and Part-to-Site Request for Information (RFI) offers you - the supplier - a tool through which you can collaborate electronically with your strategic customers to provide this Part-to-Site data of the buyers' parts. As noted, this enables rapid assessment of risks that could or have materialized in the supply chain.
Vendor Site Management
It is important to understand - managing sites as described here is necessary before your customer sends the Part to Site Mapping RFI to your supplier account! This is Step #1
The data is maintained and updated via your Administration screen once logged into your supplier portal account. Simply click on the [...] main menu icon to access.
General Information
The first time you access the supplier site management section of the Supplier Portal, the site data will have been pre-populated with all publicly available site information that is currently in the LevaData Supplier Site database. The data that is populated upon first access by you the supplier has not been approved, validated or modified by you the supplier; however, this list view of the sites is where you will maintain and update your Master Site List for use in Part-to-Site mapping for your customers.

Interactive Supplier Site List Editing from Within the Supplier Portal (Best Practice)
As a supplier, you can easily add, delete, modify and approve sites in the grid using convenient dropdowns and free text field to enter data. The dropdowns offer a fixed set of options for those fields. If you edit anything on a site line item and save, the source data column will automatically be updated from "LevaData" to "Vendor". Additionally, if you agree with the site information presented as is and "Approve", the source data column will automatically be updated from "LevaData" to "Vendor". When the source data field indicates "Vendor", it is clear that you or another user within your supplier portal account has modified the site line item in some way.
Add
- If a site is missing, simply select the add button to create a new site row.
- A red bar will appear as a reminder to fill in the required data. Mandatory fields are highlighted for you.
- You can "discard" a newly created site row you are making by simply clicking the "discard" button.
- Note: It is not possible to ADD a site row, and also modify other site rows at the same time.
- Make sure you click Save on any modifications or additions made within each line item!
Modify
- As long as you are not in the ADD process, multiple changes can be made to multiple existing site rows at the same time.
- Simply click the field you would like to modify, edit the drop down or free text. You will notice a gold bar appear as you begin making modifications as a reminder to click save. It will be present until you do perform a save action - see screen shot just below.
- Once you save, a green banner will appear in the top right of your screen to confirm your save was successful.
- Note: You can always change any data that you entered by following the same steps and saving again. There is no limit on this.
Delete
- Simply Select the site row by checking the box
- Then click the [Delete] button.
- The system will present you with a pop up to validate the action.
- Note: To change anything other than the non-editable fields (see: definitions below), use the dropdowns or modify any editable field free text fields and save.
- By taking the "Delete" action you will be removing the site from the database.
Change History
A history of changes made to site records is maintained by selecting a part site and then selecting the change history button.
Filtering
- As time passes and as modifications, approvals, deletions are made you may want to filter the list for simplification of your view. To filter the site list, click the light blue bar "selected filters" to expand.
- In the central panel, you can choose fields, conditions and properties.
- Filters can be reset by selecting the [Clear] button or implemented by selecting the [Search] button.
Excel Download and Upload Option (Non-Preferred Method)
- Use the Excel download icon to download the site list.
- (Note: you can use the filter as described above to modify the list prior to download)
- Use the following steps to modify the Excel prior to upload:
- The grey cells within the Excel download are what you can edit.
- Mandatory and Non-mandatory fields are defined for you in the grid below.
- The white columns and cells in the Excel file are non-editable and include Source data, Region, Created Date and Updated Date.
- Upon upload using the Excel upload icon it is very important to note:
- ALL sites that remain on the Excel will have the Source set to "Vendor"
- You should delete any site rows from the Excel that you did not modify before upload, so that the SOURCE data remains listed as "LevaData"
- Why? By following this process, you and the other users on your account will know which sites have been manually modified versus the site data that was populated for you by LevaData on the initial site list we provided to you.
- Created Date and Updated Date will be auto populated
- Region will be populated by the system based on the country entered on the site line item
- Longitude and Latitude will populate automatically based on other geographic information provided
- ALL sites that remain on the Excel will have the Source set to "Vendor"
- Optional field if you ADD a site in the Excel file
- Site name is optional - If you do not provide it, LevaData will auto-generate a name by concatenation of the other supplier mandatory fields.
- Optional (but recommended) fields on any site row are as follows:
- Contact Name
- Phone Number
- Email Address
- The grey cells within the Excel download are what you can edit.
Upload History
When viewing the Site list, select the Upload History button and a modal window will appear with all the history listed.
