Response to a Customer Part-to-Site Request for Information (RFI)
To prepare for Part-to-Site mapping via the RFI process, it is imperative that you have already completed the Site Management Process. Once completed, your account will be prepared to efficiently respond to your customers RFI using all the standard features provided in the LevaData Smart RFX module.
When your customer sends an RFI to your supplier portal account, an email notification is sent with a link as shown here. You will need to login and click on the RFI to open it and follow the instructions below:
Once the RFI is opened, you are presented with the number of Manufacturer Part Numbers (MPNs) by line item within the RFI that your customer is requesting Part-to Site data for. The light grey cells are editable by you, the supplier. The white cells are non editable. This is true for the interactive editing that can be done from this view shown here or in the Excel download option.
Interactive Edits to the RFI (Preferred Mapping Method)
By simply scrolling left-to-right in the grid view, you will see the ability to enter up to eight different fields for Part-to-Site maps using the drop-down menus in those cells to select the site. Each can be designated as Primary or Alternate using the drop-down menus in those cells. It is a very simple process.
Your customer will be able to specify in the RFI what part data site mapping is required when creating the RFI. When you are responding to the RFI, by line item, the minimum data requirement for each MPN/part that will be considered successfully submitted and show with a status of "Quoted" in the statistics of the RFI shown above the grid is one primary site. Please note that for both manufacturing and distribution sites, both primary and alternate can be specified.
The last column is for Supplier Comments where you can add any information that may help explain what you want to be known to your customer on a per part basis.
As you make modifications, you can select the "show changes" option to view only changed line items:
To save a draft, simply select "Save Draft", enter a name for the draft as shown, then save. You can always come back to continue your work later by doing this.
You will see a successful save message:
To see the draft, make sure you have the RFI open, then select the response log tab, click on the draft to reopen and continue your work.
Submitting Changes Following the Interactive Editing Process
Simply make sure all your edits are ready, then click [Send]. The total records and quoted column in the top section will change based on how many Part-to-Site mappings you submitted. You can modify your submissions and resend to update one or more line items or to finish incomplete line items which were not sent the first time by following the same process described above, and then by repeating the [Send] action. A new quote name will be required, and your submission will replace the prior submission.
NOTE: As long as the RFI is available on your RFX list, you can open it and make changes to the site details.
Completing the Part-to-Site Mapping RFI using Excel (Non-Preferred)
Although not preferred, this method can be very useful for doing bulk updates for similar parts. To download the Excel file, simply select the Excel Download icon as shown.
Within the RFI Excel download, the Site and Site Type are all drop down menus which can be easily selected - and for bulk updates - easily copied and pasted into the Excel file on multiple lines.
Once you have completed the modification of the Excel file, simply select the Excel icon for upload. As discussed earlier - both the Show Errors and Show Changes options will be available to you now. If there are errors, then the system will provide you with a message on how to rectify these errors. From there, you can save a draft or simply submit your changes immediately.
