Messaging: Communicating with Suppliers During RFQs and RFIs Follow
LevaData’s Vendor Collaboration module includes a built-in Messaging feature that enables direct, auditable communication with suppliers during the RFQ and RFI process. This allows you to keep all correspondence in one place—eliminating the need for email threads and improving visibility across your sourcing activities.
How Messaging Works
Sending Messages to Suppliers
While drafting an RFQ, you can use the “Message” tab in the Finalize & Send window to send messages directly to suppliers. You can also upload attachments such as specifications or clarification documents.
🔹 Note: Messaging is available only if the supplier has active users in their account. If not, you’ll see the message “No Conversations available.”
Once the RFQ has been sent, any additional messages you post in Vendor Collaboration will be sent immediately to the supplier, along with an email notification. All messages are recorded in the platform for future reference.
Receiving Supplier Responses
Suppliers can respond using the Customer Messaging tab in their Smart RFX Dashboard.
They have access to tools for collaborative communication, including:
Viewing Messages – Full message threads are visible in the left-hand pane.
Replying to You – Suppliers can respond directly within the interface.
Uploading Attachments – Documents can be uploaded and sent alongside responses.
Starting New Conversations – Suppliers can initiate a new conversation by clicking the (+) icon, entering a subject, message, and any relevant files.
This two-way messaging allows suppliers to ask clarifying questions and ensures both sides are aligned on expectations.
